
Visitly’s Visitor Watchlist helps strengthen your workplace security by automatically identifying visitors who should be flagged. You can maintain a Global Watchlist that applies across all locations or create a Local Watchlist for specific sites.

Setting Up A Global Watchlist
1. Log in to your Visitly Dashboard.
2. Navigate to Settings > Global Watchlist Rules.
3. Click the Add Watchlist Rules button in the top-right corner.
4. Select Visit Field under the Watchlist Group Type dropdown.

5. Choose a Field Name (e.g., Full Name) to specify the attribute to monitor.
6. Enter the corresponding Value that will trigger a watchlist match.
7. (Optional) Add a Rule Description to clarify the purpose of the rule.
8. If you are on the Enterprise Plan (Advanced Watchlist), you will also see two additional rule options:
Visitor Sign-In – The rule applies when visitors sign in via Kiosk, Visitor Log (Dashboard), or Contactless Check-In.
Pre-registration – The rule applies when creating or uploading bulk pre-registrations. You may enable one or both, depending on when you want the rule enforced.
9. Click Save to activate the new watchlist rule.
⭐ Note:
Visitor Sign-In and Pre-registration rules (Advance Watchlist) are only available on the Enterprise Plan.
Standard Watchlist functionality remains unchanged for customers on the Starter and Business Plans.
Pre-registration Rules (Enterprise Plan)
When the Pre-registration option is enabled, Visitly validates visitor details against the Watchlist during pre-registration creation.
Single Pre-Registration
If a visitor’s details (e.g., name, company, phone) match a Watchlist rule, an error message will appear.
On the first attempt, you will also see a Save Anyway button.
Clicking Save Anyway lets you bypass the warning, create the pre-registration, and still record the Watchlist hit reason.
Bulk Pre-Registration
If one or more visitor records match a Watchlist rule, the system continues processing but displays a warning for each matched entry.
Each flagged record shows a warning icon in the Action column. Hover over the icon to view the reason for the Watchlist match (name, email, phone, or company).
Unlike single pre-registration, bulk pre-registration does not include a Save Anyway option. The system flags the record so you can review it before finalizing.
Example: Single Pre-registration with a Watchlist Match
You add Jessica James to your Global Watchlist and enable the Pre-registration rule.
When creating a pre-registration:
1. Go to Pre-registration.
2. Click Pre-register Visit.
3. Enter the visitor’s details.
4. Since Jessica James is on the Watchlist, a warning message appears when you click Save.
At this point, you can either:
Cancel the entry, or
Click Save Anyway to bypass the warning and complete the pre-registration.
This ensures you are notified of the Watchlist hit but still maintain flexibility to allow trusted visitors.
