Effectively manage document templates to maintain clear communication, meet regulatory requirements, and ensure smooth visitor experiences with Visitly.
Add A New Document Template
1. Go to Locations and click Edit on the location card you wish to manage.
2. Go to the Documents page, and click Add New.
3. Fill in the required fields in the Create Document dialog:
Document Name: Enter a title for the document.
Signed Document Validity Period (Days): Set the duration (in days) for the document to remain valid. This allows visitors to skip signing again within the validity period.
Status: Choose Yes to activate the document during sign-in or No to keep it inactive.
Allow Visitors to Decline: Select Yes if visitors can decline to sign the document; otherwise, select No.
Document Content: Input the document text. Use formatting options to customize font, add links, and upload images.
⭐ Tip: Use shortcodes or variables from the right-hand panel to personalize the document dynamically.
4. Click Save.
Edit A Document Template
1. On the Documents page, click the Edit icon in the row of the document you want to modify.
2. Update the necessary fields in the Update Document dialog.
3. Click Update to save changes.
View Document Content
Review the content of existing document templates to ensure accuracy.
1. On the Documents page, click the View icon in the row of the document you want to view.
Manage Document Template Status
Enable or disable a document template to control its availability during visitor sign-ins.
1. On the Documents page, toggle the button in the Status column for the desired document.
