Notification Template

With Visitly, you can customize and configure the notification content that are sent to your hosts and visitors. Visitly support notification templates for Email and SMS notifications

Login to Visitly Dashboard  and click on Locations. Click Edit on the location you would like to make changes for

On the left side of the screen, Click on Notification Templates and you will be presented a list of existing templates.

To add a new template, click on “Add New”

Select Channel from the drop down

  • Email – For adding a template for Email Notification
  • SMS – For adding a template for SMS notification

Enter following for Email notification

  • Name – Name of the template
  • Description – Optional description of the template
  • From – From text that will be used when sending email using this template. Please note that the from email address will always be [email protected] for email deliverability
  • Subject Line
  • Email Body – Use the rich text editor to enter the email body. You can use tokens in subject line and body and it will replaced with the actual value when the email is sent.
  • If you have added custom fields, you can also include them in the email template.
  • You can use following short code variables in the templates
    • {{orgName}} – Organization Name
    • {{locationName}} – Name of location of sign in
    • {{visitorFullName}} – Visitor Name
    • {{checkinDate}} – Sign In Date
    • {{checkoutDate}} – Sign Out Date
    • {{checkinTime}} – Sign In Time
    • {{checkoutTime}} – Sign Out Time
    • {{hostName}} – Host name
    • {{company}} – Visitor Company
    • {{visitorEmail}} – Visitor Email
    • {{visitorPhone}} – Visitor Phone
    • {{visitorType}} – Visitor Type
    • {{visitorPhoto}} – Visitor Photo URL
    • {{visitorPhotoImage}} – Visitor Photo Image
    • {{visitorRepeatPass}} – Visitly Pass URL
    • {{signedDocName}} – Name of Document signed by the visitor
    • {{signedDocAttachment}} – signed Document URL
  • Following tokens are available only for Guest Wifi approval email
    • {{approvalUrl}} – Approval URL
    • {{declineUrl}} – Decline URL
  • Following tokens are available for Pre-registration notifications
    • {{scheduledChekinDate}} – Scheduled check in date
    • {{scheduledCheckinTime}} – Scheduled check in time
    • {{scheduledCheckoutDate}} – Scheduled check out date
    • {{scheduledCheckoutTime}} – Scheduled check out time
    • {{QRCodeUrl}} – QR Code URL

Enter following for SMS notification

  • Name – Name of the template
  • Description – Optional description of the template
  • SMS Text – Enter the SMS text you would like to send. You can use the following tokens and it will replaced with the actual value when the SMS is sent.
    • {{orgName}} – Organization Name
    • {{locationName}} – Name of location of sign in
    • {{visitorFullName}} – Visitor Name
    • {{checkinDate}} – Sign In Date
    • {{checkoutDate}} – Sign Out Date
    • {{checkinTime}} – Sign In Time
    • {{checkoutTime}} – Sign Out Time
    • {{hostName}} – Host name
    • {{company}} – Visitor Company
    • {{visitorEmail}} – Visitor Email
    • {{visitorPhone}} – Visitor Phone
    • {{visitorType}} – Visitor Type
    • {{visitorPhoto}} – Visitor Photo
    • {{signedDocName}} – Document signed by the visitor
  • If you have added custom fields, you can also include them in the template.
